User & License Optimizer Guide

Below is a suggested step-by-step guide to set up and run the User & License Optimizer within Doctor Pro for Jira, helping you manage user activity and licenses efficiently:

  1. Locate the User & License Optimizer

    • In the Doctor Pro for Jira interface, find the User & License Optimizer feature (sometimes located under “Optimization” or “Administration Tools”).

    • This dashboard is specifically designed to scan for inactive or underutilized users.

  3. Enable Auto-Suspension

    • Look for the “Users Auto Suspending” section within the Optimizer settings.

    • Toggle Enabled to “On” if you wish to automatically suspend inactive or non-license-consuming users.

    • You can also click RunSet Inactivity Thresholds

  4. Configure Suspension Options
    Within the auto-suspension settings, you have the following configuration choices:

    • Suspend users with no recorded activity:

      • If enabled, users who have a null activity value (meaning they never logged in or have no recorded activity at all) will also be suspended.

    • Suspend users who don’t consume a license:

      • If enabled, Doctor Pro for Jira will also suspend users who are not using any paid Jira license i.e. Customers, Stakeholders.

    • Scheduled Process Start Time:

      • Define the time window (local time) when the auto-suspension process should run (e.g., “03:00 - 04:00”).

      • You will see information about when the next automatic run is scheduled (e.g., “Next process will start tomorrow between 01:00 - 02:00 UTC”).

    • Number of days after which the user will be suspended for inactivity:

      • Specify exactly how many days of inactivity will trigger suspension.

  5. Run a Diagnosis (Preview) Before Enabling

    • Before finalizing your settings, use the Diagnose to see a list of users that would be suspended under the configured rules.

    • Review this list carefully to ensure you are not accidentally suspending critical or temporarily inactive users.
